Documentation Announcement & Guidelines
All selected interns and employees of FortuMars, Cognithorz, and companies under the VetriVel Group of Companies must read and follow the guidelines below carefully.
Overview
The documentation process is mandatory and must be completed by 13th November 2025. Only after successful verification of your documents will your Offer Letter be processed for release.
1. General Instructions
- A total of 12 official documents must be downloaded, filled, signed, scanned, and uploaded.
- These documents are strictly confidential and must not be shared or distributed to anyone other than the selected intern or employee.
- All details in every document must be filled only in CAPITAL LETTERS.
- Use a blue pen only for all handwritten entries.
- In all places where a signature is required:
- Use your official signature (as used in government or bank documents).
- Merely writing your name will not be accepted.
- Every page of a multi-page document must be signed individually.
- Date format: All dates must be written in DD/MMM/YYYY format (e.g., 10/NOV/2025).
- Full Name: Always write your complete name (no initials or abbreviations).
- Once all 12 documents are printed:
- Fill and sign the documents.
- Scan all pages clearly.
- Merge all documents into a single PDF file in the correct order (see Section 2).
- Name the file as: FULLNAME_FULLDOCUMENTATIONSCAN.PDF
Example: DAVID SR_FULLDOCUMENTATIONSCAN.PDF
- The last date to complete and upload all documents is 13th November 2025.
- After uploading, you must bring the original signed copies, along with one original certificate, at the time of receiving your Offer Letter.
2. Sequence of Documents to be Arranged in Final PDF
All scanned pages must be merged into one single PDF and arranged strictly in the order below. The final PDF must not exceed 10 MB.
- Updated Curriculum Vitae (CV) with your signature
- Recent Passport Size Photograph (white background preferred)
- Government Identity Proof(s) — attach three or more of the following:
- Aadhaar Card
- Passport
- PAN Card
- Voter ID
- Driving Licence
- Any other valid government-issued ID
- School and College Educational Certificates — 10th, 12th, UG, PG Degree & Mark Sheets

- Medical Fitness Self-Declaration
- Parent or Guardian Consent Letter
- Undertaking for Internship Commitment

- Remote Environment Internship Annexure
- Notice Period Acceptance
- Self-Declaration Form (No Criminal Record / No Drug Usage Declaration)

3. General Information to be Filled in Each Document
- Interns are engaged under performance-based stipends; hence, select Variable Pay.
- Leave the Date of Joining blank for now; fill it only after receiving your official Offer Letter.
- Ensure all entries are accurate, legible, and complete before scanning.
- Use only CAPITAL letters throughout.
- Always write your FULL NAME (no initials).
- For Designation, write:
- Technical — if selected for a technical role;
- Non-Technical — if selected for a business/management role.
4. Post-Documentation Process
- Once uploaded, your documentation will undergo verification by the HR Department.
- If any document is incomplete, unclear, unsigned, or incorrectly formatted, you will be instructed to re-submit.
- Upon successful verification, you will receive an official notification regarding the Offer Letter Issuance & Documentation Ceremony, scheduled between 20th November 2025 and 10th December 2025.
- During this event:
- Offer Letters will be officially handed over.
- Original signed documents will be collected.
- HR and Management will brief all interns on upcoming projects and CSR initiatives.
- Your tentative Date of Joining is planned for the first week of January 2026.
5. Confidentiality & Compliance
All 12 documentation files are legally confidential materials of FortuMars, Cognithorz, and the VetriVel Group of Companies. They must not be shared, reproduced, or distributed to any external person or institution under any circumstances.
Any misuse, copying, or unauthorized circulation of these internal documents will result in immediate disqualification and may invite legal action under confidentiality and data protection agreements.
